Cash Book and Expense Reports explain non-sale money movement. They are essential when profit and loss includes Cash Book entries.

Expense ReportsExpense Reports are part of the Money report group when Cash Book is enabled.

What the Expense Report Shows

Run Cash Book Reports

  1. Enable Cash Book in Manage -> Features.
  2. Create cash book entries from the Cash Book workflow.
  3. Open Reports -> Money -> Cash Book.
  4. Filter by date range and branch.
  5. Apply.
  6. Review amount, type, category, recipient, approved-by and description.
  7. Export CSV when the owner needs the list for accounting.

Use with Profit and Loss

Core Settings include an option for Profit and Loss includes Cash Book. When enabled, Cash Book entries affect owner profit review. That makes expense report discipline part of daily close.

  • Record expenses on the day they happen.
  • Use categories consistently.
  • Attach or keep receipt evidence outside Posnic when the business requires it.
  • Review Cash Book Reports before accepting net profit.
  • Do not use Cash Book as a replacement for sale refunds or purchase returns.

Close Review

  • Cash out entries reduce physical drawer cash.
  • Cash in entries increase physical drawer cash.
  • Register close should consider cash in/out when a drawer is counted.
  • Day-End Summary explains sales; Cash Book Reports explain non-sale cash movement.
  • Unexplained cash movement should be resolved before the next opening float.
