Start a Quotation
A quotation is an offer, not a completed sale. Creating or editing one does not collect payment, reduce stock or add sales revenue. Start from Quotes -> New when preparing an offer directly, or use Save as quote from a sale cart when the proposed items are already on screen.
- Open Home -> Quotes and select New.
- Search for an existing customer by name or phone, or enter the Bill to name, phone, email, GSTIN or Tax ID, and address.
- Search the catalog and add each real item that should keep its product identity.
- Use Custom line for labor, installation, delivery or another quoted line that is not a catalog item.
- Set quantity, unit price and any line discount, then review each line total.
- Check the live quotation preview before continuing.
Price the Offer Correctly
| Control | Use it for | Operator check |
|---|---|---|
| Line discount | A reduction on one product or service line. | Confirm the discount applies to the intended line only. |
| Quote discount | A percentage or fixed reduction across the quotation. | Use the shop's approval policy before promising the price. |
| Charge / tax | GST, freight, installation or another named addition or deduction. | Give every charge a customer-readable name and correct sign. |
| Unit price | The price promised for that line. | Check decimal, quantity and tax treatment before saving. |
| Custom line | A non-catalog item or service. | Describe it clearly because no item master record supplies the name or barcode. |
Set Validity and Customer Instructions
- Choose 7 days, 15 days or 30 days, or enter an exact Valid until date.
- Enter the approved payment method, such as bank transfer, UPI or cash.
- Add bank details only from the owner's approved account information.
- Enter terms covering advance, delivery, acceptance, cancellation or other shop policy.
- Add notes that should print on this quotation.
- Use the authorised signature only when the owner has approved the image and signatory.
Save, Review or Edit
Select Save quotation only after the preview reads like a document you are ready to send. Open quotes can be edited; accepted, declined, converted or cancelled records should be treated as lifecycle evidence rather than silently rewritten.
- A new quotation defaults to seven days of validity unless the operator changes it.
- Catalog lines and custom lines can be reordered in the editor.
- The payment, bank, terms and notes blocks can be reordered for the printed document.
- Use the dedicated Edit action while the quote is open, draft or sent.
- After saving, reopen the quote and verify customer, line totals, validity and grand total.
